Build a University Federal Grant Pipeline

A university research office needs more than a list of links. Opportunities must be matched to disciplines, principal investigators, institutional eligibility, internal review dates, and sponsor strategy. The Grants.gov Scraper supplies the source-linked opportunity layer for that pipeline.

Organize searches by research portfolio

Create distinct topics for priority areas and apply agency filters when appropriate:

Preserve the query as a theme tag, but deduplicate on opportunity ID. Add local fields for faculty interests, college, research center, sponsor history, limited-submission status, cost sharing, facilities requirements, and proposal owner. The source provides eligibility and synopsis material; the university adds institutional context.

Forecasts belong in a planning view where faculty can form teams and develop concepts. Posted notices belong in an execution view with confirmed requirements, internal routing, budget review, compliance checks, and submission milestones. Do not automatically promote a forecast without validating the posted version.

Award floor and ceiling are useful when numeric, but missing values require reading the full notice. Likewise, applicant-type arrays can be broad and still contain program-specific restrictions in the synopsis or attachments. Treat automated qualification as triage, not a final eligibility decision.

Refresh the pipeline at least weekly and daily during major sponsor cycles. Alert on new opportunities and changes to close date, eligibility, status, or agency contact information. Keep historical snapshots so teams can explain when an opportunity entered the pipeline and which source version informed the decision. Over time, compare searches with submitted and won proposals to improve topic design rather than simply increasing volume.
